Gateway, processor and acquirer: distinguishing the roles
Distinguish gateway, processor and acquirer roles in an online card payment, even when one provider bundles the services.
A gateway carries the online payment request and returns a response. A processor handles transaction processing. An acquirer provides the merchant-side card-acceptance connection to the card networks. These are roles, not necessarily three companies: one provider may perform several, and another party may appear in the merchant’s contract.
Map the card payment
| Role | Responsibility to identify | Ask the provider |
|---|---|---|
| Gateway | The payment page, form or connection that passes the request and response. | Which system receives the checkout request and returns its result? |
| Processor | The service handling transaction messages and processing records. | Who investigates a processing failure and supplies the transaction record? |
| Acquirer | The card-acceptance arrangement on the merchant side. | Who provides or sponsors acquiring, and where are its terms recorded? |
The issuer is on the cardholder’s side: it issued the card and responds to an authorisation request. The card network connects the issuing and acquiring sides. An authorisation response does not itself show that funds have reached the merchant’s bank account. Capture where applicable, settlement activity and payout require their own checks.
The Reserve Bank of Australia describes acquirers as providing card acceptance through network membership, including online acceptance through a gateway. This distinction helps explain why a proposal called “payment processing” may bundle several functions.
Find the parties behind the product name
A bundled service may give the merchant one visible provider, dashboard and support contact for checkout and payments. A separate gateway may connect a store to an existing acquirer. Neither arrangement tells you, by itself, who sends payouts or owns an exception.
Ask for a service map naming the contracting party, gateway operator, processor, acquirer or acquiring sponsor, payout sender and support owner. If a payment facilitator is involved, ask how it obtains acquiring services for the merchant. Confirm the answer for the offered account structure; the logo on the pay button is insufficient evidence.
Suppose an order is marked paid but finance cannot identify the corresponding deposit. Start with the store’s order reference and provider payment reference, then ask which transaction, balance and payout records connect them. The available path depends on the provider’s reporting and payout model. This role map helps identify who can answer each question; the detailed report check belongs in the vendor-selection review.
